Supplier forms, tenders and lending conversations now often include one question: what are your emissions? For a small or mid-sized business that question usually lands on whoever does the accounts, with a tender deadline attached. The answer is not hard to produce if you have been keeping the records. It is very hard to produce from a year of old invoices.

The Emissions Ledger is where you keep those records. It follows the scope 1, 2 and 3 structure of the GHG Protocol Corporate Standard, the framework most reporting requests are built on, and it uses New Zealand's official emission factors, so the number you give a customer is one you can stand behind.

What the Emissions Ledger does

  • Sites and sources. Set up each reporting boundary, such as an office, a depot or a farm, and the sources inside it: a meter, a vehicle, a tank, a waste stream.
  • The right factor, found for you. Search the catalogue of more than 900 published factors. The source takes its unit from the factor you pick, so litres stay litres and kilowatt hours stay kilowatt hours.
  • Scope 1, 2 and 3 totals. Direct emissions, purchased energy and other indirect emissions, each reported on its own.
  • Data quality on every reading. Mark a reading as measured, or say how it was derived. You can see how much of your total rests on measured data.
  • Frozen-factor records. Each record keeps the factor it was built with. If a factor is updated next year, last year's figure does not move.
  • Corrections that leave a trail. Fixing a mistake writes a new record that supersedes the old one, so there is always a history.

    Name the boundary you are reporting for. One business can have several.

  2. Add a source

    Search for the emission factor that matches it, such as diesel, electricity or air travel, and attach it to the source.

  3. Record readings

    Enter the quantity and the date observed whenever a bill or statement arrives. The emissions are calculated and locked.

Why records that never change matter

Most footprint spreadsheets recalculate. Update a factor and every past year quietly shifts, which means the figure you gave a customer last March is no longer the figure in your file. Auditors and procurement teams notice. The Emissions Ledger is built the other way round: a saved record is fixed, and the factor, its source and its publication year are stored with it. What you reported stays reported.

Carbon accounting questions, answered

What are scope 1, 2 and 3 emissions?

Scope 1 is direct emissions from things you own or control, such as vehicles and boilers. Scope 2 is purchased energy, mainly electricity. Scope 3 is other indirect emissions in your value chain, such as freight, travel and waste.

Which emission factors does the ledger use?

The official New Zealand Measuring Emissions catalogue, with more than 900 factors covering fuels, electricity, transport, freight, waste, agriculture and more. You search the catalogue and pick the factor that matches your source.

What is a frozen-factor record?

A record that stores the emission factor it was calculated with. If the published factor changes later, the saved record does not, so figures you have already reported stay the same.

Do I need a consultant to use carbon accounting software?

Not to keep the ledger. If you can enter a quantity from a bill and choose the matching factor, you can run it yourself. You may still want outside help if a customer requires independent assurance.

Can I record an estimate when I do not have a measured figure?

Yes. Mark the reading as derived and say how you arrived at it. The ledger then shows how much of your total comes from measured readings and how much does not.

Can I record emissions for more than one site?

Yes. Add a site for each reporting boundary and as many sources under each as you need.

Does the ledger give me a certified footprint?

No. It gives you sourced, consistent records and totals. Certification and assurance are separate services, and good records make them faster and cheaper.

What happens when I make a mistake in a reading?

You correct it, and the ledger writes a new record that supersedes the old one. The original is kept in the history, so there is a clear trail of what changed.

What units do I enter readings in?

Whatever unit the emission factor uses. A source takes its unit from the factor you attach, so diesel is entered in litres and electricity in kilowatt hours without any converting.

How long does it take to set up?

Most businesses can add a site, their main sources and a first set of readings in one sitting. After that it is a few minutes whenever a bill arrives.
